By registering, attending, or participating in any Iron Tigers activity, you consent to adhere to our club’s policies, rules, and procedures.

As we have teams in various competitions. Please ensure that you are familiar with the competition by-laws for the respective competitions you are playing in.
 
By registering, participating, and attending any of our training/games, you agree to adhere to the Player and Parent Code of Conduct
PLAYERS
  • Be on time for all training and games. It is recommended to be at the venue 10 minutes before your scheduled training/games unless you are given a call time.
  • Respect your coach and officials and follow instructions given at all times.
  • Respect your fellow team members, opposition teams and supporters.
  • Respect referees and other officials and DO NOT argue with them.
  • Be positive and supportive of your team members.
  • Players are NOT TO intimidate opposition players either verbally or physically.
  • Players to shake hands with opponents, coaches and officials at conclusion of every game.
PARENTS
  • Parents must not coach from the sidelines during training/games.
  • Parents should not criticise their child on any part of their game. Leave the coaching to the coaches to avoid confusion and significantly impacting the player's confidence.
  • Be your child's best fan and supporter. Love them unconditionally whether they perform to the best of their abilities or not.
  • On transporting your child home, please be supporting and always focus on the positive aspects of his game. Be honest but gentle with your feedback on your child's performance.
  • Develop a responsibility in your child to pack his own gear, and bring along his water bottle and ball.
  • Respect the facilities and any staff member.
  • Do not criticise your child’s coach to your child or other parents. If you are not happy with the coach, you should raise the issue with the coach directly.
  • Help your players to focus on the performance and not the result. Winning is not as important as the performance.
  • Support all the players training and playing during games. Do not criticise any player.
  • Do not criticise the opponents, their parents, coaches or the referee.
 
Please Note: Any breach of the above code of conduct by players, parents, and officials will be dealt with. Iron Tigers Basketball Club reserves the right to refuse any player, parent, or officials from joining/participatng/attending any of the training/games if any of the code of conduct is breached.
Our teams competing in the Central Coast Basketball Association competitions should adhere to the Zero Tolerance Policy the association has implemented.
 
 
Any breach of this policy will not be tolerated by Iron Tigers Basketball Club and will result in removal from the team without refunds.
Purpose:
To ensure that all players and families understand the importance of timely payment for participation in our programs (competitions and training). This policy aims to maintain the financial health of the club and ensure equitable access to resources for all players
 
Policy Statement:
All players must have their competition and training fees and any outstanding balances paid in full before participating in practices and games. This includes but is not limited to:
  • Competition fees (including team entry fees, court hire, game fees, coaching fees, and admin fees)
  • Training fees (including court hire, insurance fees, coaching fees, and admin fees)
  • Uniform fees
  • Player registration fees
Procedure:
  1. Payment Deadline: All fees must be paid by the specified deadline outlined during the registration process. Families will receive reminders as the deadline approaches.
  2. Account Status: Players with unpaid balances will be placed on a “not eligible” list until the account is settled. Parents or guardians will be notified of any outstanding payments via email, text message or phone.
  3. Participation Restrictions: Players on the “not eligible” list will not be allowed to participate in:
     
    • Practices
    • Games
    • Tournaments
    • Other club activities
     
  4. Resolution of Balances: If a family is experiencing financial difficulties, we encourage open communication with the club administration. We may offer payment plans on a case-by-case basis.
  5. Reinstatement: Once all payments are received, the player will be reinstated to the team and will be eligible to participate in all club activities.

Iron Tigers Basketball Club – Tournament Entry Policy
Iron Tigers Basketball Club aims to provide competitive playing opportunities for our teams, including participation in selected in-state and interstate tournaments. The following criteria determine team eligibility for tournament entry.
1. Eligibility Criteria for Tournament Entry
To ensure teams represent Iron Tigers at a competitive level, only teams meeting the following qualifications will be considered for external tournament participation.
A-Grade Teams
• Automatically qualify for tournament entry if they achieve a win rate of 50% or higher in the season immediately prior to the tournament.
Other Graded Teams
• Must finish first in their regular-season competition and/or
• Qualify for or win their grand final in the season immediately prior to the tournament.
2. Age Group Eligibility
• Only teams in the Under-12 age group and older will be considered for in-state or interstate tournaments.
• Under-10 teams will not be entered into tournaments outside of regular domestic competitions.
3. Tournament Selection & Participation
• The club will determine which tournaments are appropriate for team entry based on the level of competition, scheduling, and logistics.
• Teams that meet the qualification criteria may still be subject to coach and club approval before entry is confirmed.
• Players must be financially up to date with all club fees before being considered for tournament participation.
• Additional costs for tournament entry, travel, and accommodation are the responsibility of participating players and families.
• The club may pass on additional costs to players and families to cover referee travel expenses where applicable.
4. Referees & Tournament Requirements
• Most tournaments require each participating team to supply at least one referee.
• Iron Tigers Basketball Club does not currently have its own referees, which may impact the number of teams the club can enter in any given tournament.
• The club will attempt to source referees where required, but if referees cannot be secured, some teams may not be able to participate.
• Additional costs to cover travelling referee expenses may be passed on to players and families.
• Priority for tournament entry may be given to teams where a suitable referee is available.
5. Parent & Family Responsibilities
• Parents must agree to participate in bench duty (scoring and timekeeping) for tournament games.
• A bench duty roster will be created for each team, and failure to complete assigned duties may result in penalties or restrictions on future tournament participation.
6. Coach & Player Commitments
• Coaches and players selected for tournament teams must commit to attending all scheduled tournament games and team activities.
• If a qualified team is unable to field enough players for a tournament, the club may consider merging eligible players from multiple teams or declining the entry.
• The club reserves the right to deny entry to any team if participation is not in the best interest of player development, club representation, or logistical feasibility.
This policy ensures that Iron Tigers Basketball Club maintains competitive integrity and provides meaningful opportunities for teams to represent the club at external tournaments.

To ensure the safety and wellbeing of children and young people who are involved in Iron Tigers Basketball Club activities. We are committed to creating an environment where all children feel safe, respected, and supported.

Scope:
This policy applies to all staff, coaches, volunteers, players, and visitors involved in Iron Tigers activities.

Purpose:
To ensure only suitable, qualified, and child-safe adults work with or around children at Iron Tigers Basketball Club.

Requirements:

  • All employees and volunteers aged 18 and over must provide a valid and current Working With Children Check (WWCC).

  • Reference checks are required for all new coaching and staff appointments.

  • All coaches must complete the “Play by the Rules: Child Safety in Sport Induction” course prior to commencing their role.

  • Additional screening may include Police Checks or verification of coaching qualifications where applicable.

Recruitment Process:

  1. Application review — ensuring experience, alignment with club values, and commitment to child safety.

  2. Interview (if applicable) — to assess suitability for the role.

  3. Verification — of WWCC, qualifications, and any relevant clearances.

  4. Reference checks — at least one professional and one character reference.

  5. Induction — mandatory training on child safety policies and Code of Conduct.

Ongoing Requirements:

  • Coaches must maintain a valid WWCC at all times.

  • Any changes in clearance status must be reported immediately.

  • Annual re-acknowledgement of child safety responsibilities is required.

Purpose:
To ensure that all staff, coaches, volunteers, and families understand how to identify, respond to, and report concerns related to child abuse, harm, or breaches of conduct in a safe, transparent, and legally compliant manner.

What to Report – Definitions of Abuse and Misconduct
You must report any concern or allegation relating to:

  • Psychological abuse: verbal abuse, intimidation, threats, or emotional manipulation.

  • Physical abuse: hitting, shaking, excessive physical discipline, or otherwise causing physical harm.

  • Sexual abuse: any sexual act or behaviour with a child, including touching, exposure to sexual content, or grooming.

  • Grooming: building a relationship of trust to enable future abuse.

  • Neglect: failure to provide adequate supervision, safety, shelter, nutrition, or medical care.

  • Misconduct: inappropriate behaviour by a staff member, coach, or volunteer, including breaches of the Child Safe Code of Conduct.

Types of Complaints
Complaints may involve:

  • Suspected or disclosed abuse

  • Breaches of the Child Safe Code of Conduct

  • Inappropriate or unsafe behaviour by any adult or child

  • Concerns about supervision, communication, or physical contact

  • Any incident that places a child at risk of harm

Who Can Make a Report
Anyone can raise a concern, including:

  • Children or young people

  • Parents or carers

  • Coaches, staff, or volunteers

  • Members of the public

Reports can be made verbally, via email, or using the club’s Incident Report Form. Anonymous reports are accepted and will be taken seriously, though investigation may be limited.

Reporting Criminal Conduct

  • Immediate danger: call Police on 000

  • Reasonable suspicion of significant harm: contact the NSW Child Protection Helpline on 132 111

  • Mandatory reporters must also submit a report via the ChildStory Reporter Portal

Reporting Breaches of the Child Safety Code of Conduct
All breaches must be reported to the Club Director. This includes inappropriate language, boundary violations, unauthorised communication, or other concerning behaviour. Action may include internal disciplinary procedures and external reporting if required.

Risk Management Strategies
Use the Club’s Incident Report Form to document who was involved, what occurred, when and where it happened, and any witnesses. Reports should be factual, timely, and objective.

Procedural Fairness, Privacy, and Confidentiality
All reports will be handled sensitively. Allegations will be investigated with fairness to all parties, and privacy will be respected throughout. Only those who need to know will be informed.

Complaint Process

  1. Receive the concern and ensure immediate safety of the child

  2. Record the concern using the Incident Report Form

  3. Report to authorities if required

  4. Respond through internal investigation and follow-up

  5. Review the situation to identify risks and implement improvements

How We Publicise This Policy

  • The policy is available on the club website

  • A child- and family-friendly version is provided to all families

  • Coaches and volunteers receive this policy at induction and sign off their understanding

Purpose:
To ensure that all online communication involving children and young people at Iron Tigers Basketball Club is safe, respectful, and appropriate. This policy applies to all staff, coaches, volunteers, players, and families using digital platforms in connection with the club.

Acceptable Communication

  • Coaches may only communicate with players under 18 through group messages where parents or guardians are included (e.g. WhatsApp team groups).

  • Communication must be clear, respectful, and related to club activities only.

  • Any concerns about online interactions must be reported to the Club Director immediately.

Unacceptable Conduct

  • Coaches and staff must not send private messages to players under 18 via text, email, or social media.

  • Friend requests between coaches and players on personal social media accounts are not permitted.

  • No photos or videos of children may be shared online without written consent from a parent or guardian.

  • Content that is offensive, discriminatory, or inappropriate in any way will be removed immediately and investigated.

Social Media Management

  • The official Iron Tigers Basketball Club social media pages (Instagram, Facebook) are managed by approved staff or contractors.

  • Any content featuring children must follow the club’s consent and privacy requirements.

  • Parents may opt out of having their child appear in any online content by notifying the club in writing.

Cyberbullying and Inappropriate Behaviour

  • Any form of cyberbullying, harassment, or intimidation on club platforms will not be tolerated.

  • Reports will be acted upon immediately and may result in suspension or removal from club programs.

Record Keeping and Oversight

  • Admin access to all group chats is held by the Club Director or assigned staff.

  • All communication channels involving minors are monitored for safety and compliance.

To help children and families understand what to expect from Iron Tigers Basketball Club, what behaviour is appropriate from adults, and how to speak up if something doesn’t feel right.

What You Can Expect from Us

  • We will always do our best to keep you safe.

  • We will treat you fairly and respectfully, no matter who you are.

What Adults at the Club Are Not Allowed to Do

  • They must not be alone with you unless someone else is nearby.

  • They cannot touch you in a way that feels wrong or uncomfortable.

  • They are not allowed to talk to you online or via text without your parent knowing.

  • They must not take or post photos of you unless your parent says it’s okay.

  • They must follow our Code of Conduct and act like role models.
